About the role
- Supports the project pursuit effort through a lead role in managing proposal activities towards the delivery of outstanding written content in response to Request for Information (RFIs), Request for Qualifications (RFQs), and Request for Proposals (RFPs), other similar project/client pursuits, and presentations/interviews. The marketing coordinator will work in a highly collaborative environment in which communication with key stakeholders and internal clients plays a key role. The marketing coordinator works within Strategic Pursuits in the Corporate Marketing Department while working across all departments in the company.
- Manages time-sensitive proposal activities and writes proposal sections and general marketing correspondence to include: resumes, project descriptions, boilerplate information, and social media announcements. Ensures the various aspects of the proposals (technical scope, staff qualification, experience, biographical data, etc.) and other marketing materials are accurate and delivered in a timely manner.
- Serves as the lead and final quality control for the delivery of outstanding marketing content related to proposals, qualifications, and similar business documents. Produce proposals, including typing, editing, graphics, reproduction, binding, and mailing/final delivery to ensure that all RFQ/RFP criteria are met. Identifies and complies with specific RFIs, RFQs, and RFPs response requirements including client-specific submission via online portal and/or mail delivery.
- Writes and edits new marketing content responsive to RFIs, RFQs, and RFPs questions. Ensures that all materials related to responding to RFPs, RFIs, and RFQs or similar documents meet firm consistency standards. Ensures that all materials related to responding to RFP, RFI, RFQs, or similar documents are excellent written representations Walker’s capabilities (i.e., putting the firm in the best possible position to win work through the RFP process) incorporating the company’s style and branding guides in a deadline driven environment.
- Maintains an up-to-date content library of prior responses. Maintains systems to extract, categorize, and retrieve information related to personnel, prior projects, prior submissions, consultants, boilerplate, visuals, etc.
- Coordinates project follow-up process to collect feedback, communicate lessons learned, trends and report results including tracking win/loss information and similar designations. Identifies opportunities to improve the process, tools and/or reference resources used to prepare proposals, presentations, pursuits, and other business development content. Develop marketing strategies that may include promotional campaigns, trends analysis, and client research.
- On-going maintenance of CRM proposal database (Deltek Vantagepoint), and media library (OpenAsset).
- Coordinate regional PR activities, including creating press releases and announcements and coordinating project awards and other special PR-related projects.
- Works independently and/or with technical staff, such as writers, graphic designers, and marketing assistants to develop proposal sections and scopes of work. Organizes technical staff in presentation rehearsals and provides coaching support.
- Tracks leads and follows up with regional team members, business development representatives, or managing principal on sales contacts.
- Coordinate special events and local conferences.
Requirements
- Bachelor’s degree in marketing, communications, English, journalism, or equivalent experience.
- Minimum of 3-7 years of relevant proposal experience in marketing, within the A&E industry, is preferred but not required.
- Advanced knowledge of Microsoft Office Suite and working knowledge with Adobe InDesign Creative Suite.
- APMP or SMPS member preferred, but not required.
- Demonstrate interest and curiosity in the work that is reflected in the attention to detail.
- Excellent written and verbal communication skills, as well as organizational and problem-solving skills.
- Think creatively and strategically and successfully complete work in a team-based environment.
