Key responsibilities & impact
  • Manage relationships with very high-level executives — such as board members, CEOs and C-levels — acting as their exclusive single point of contact.
  • Facilitate the work of their assistants and executive secretaries, providing proactive, swift and accurate support that anticipates needs and simplifies decision-making.
  • Act with a consultative approach throughout every stage of the journey: from understanding the need to finalizing the trip, guiding the process smoothly and attending to the smallest details.
  • Provide comprehensive, ongoing support, ensuring availability and responsiveness for any need or unexpected event during the journey.
  • Rigorously validate all contracted services — such as flights, accommodations, transfers, experiences and charters — ensuring each item is confirmed in accordance with the client's preferences, timing and profile.
  • Actively monitor the travel context, considering weather, local events, risks and instabilities, and prepare contingency plans that ensure the executive’s peace of mind and safety.
  • Manage leisure itineraries for the executive and their companions when applicable, offering personalized recommendations for restaurants, dining experiences, cultural programs and wellness activities, always respecting the client's style and interests.
  • Consider every detail of the journey with sensitivity and care, ensuring comfort, safety, fluidity and sophistication at every touchpoint.
  • Ensure excellent personalization of the experience, taking care of delivering gifts, amenities and gestures that are appropriate to the client's moment, considering special dates, personal style and relationship history.
  • Cultivate close relationships with strategic suppliers, both domestic and international — such as hotel chains, airlines, executive transport companies and airport support partners — negotiating special terms, anticipating needs and guaranteeing premium-standard deliveries.
  • Conduct post-trip contact with an elegant, consultative approach, expressing thanks, collecting feedback and adjusting future services based on real learnings.
  • Keep the client's profile updated with relevant information, such as sensory and dietary preferences, scheduling needs, travel style and behavior during trips.
  • Be a reference for delivering discreet, strategic and sophisticated service, ensuring the executive's journey is flawless and effortless from start to finish.

Requirements

What you’ll need
  • Bachelor's degree (preferably in Tourism, Hospitality, Public Relations, Business Administration or Communications).
  • Advanced English (essential for working with international travel, global suppliers and bilingual executives).
  • Postgraduate degree or specialization is a plus.
  • Excellent verbal and written communication, with the ability to conduct conversations clearly, elegantly and strategically with different client profiles.
  • Ability to mediate, active listening and confidence in handling delicate situations or unforeseen events.
  • Analytical profile, with confident decision-making and a strong sense of priorities.
  • Organization, responsibility and extreme attention to detail.
