About the role

Key responsibilities & impact
  • Greet patients and families
  • Schedule patient appointments, hospital admissions, ambulatory admissions, tests, referrals, and surgical procedures
  • Answer and direct telephone calls, take accurate messages, and demonstrate appropriate telephone etiquette
  • Maintain communication resources including on-call schedules and physician contact numbers
  • Prepare charts and request medical records for patient visits, examinations, procedures, and treatments
  • Print necessary medical-record information from electronic records when charts are unavailable
  • Reconcile encounters daily according to policy and guidelines
  • Monitor supply inventory and process requisitions for supplies, forms, equipment, or services
  • Perform clerical duties including faxing, photocopying, filing, and mailings
  • Obtain, verify, and update patient information while maintaining confidentiality
  • Complete necessary patient forms and protect patient privacy
  • Establish positive working relationships with physicians and nursing staff
  • Communicate problems, equipment concerns, and issues to the Nurse Manager
  • Arrange specialty equipment and services and interact with outside vendors and contracted services
  • Submit required hospital documents and collect pre-admission testing data
  • Arrange, type, and distribute schedules; maintain office supplies, equipment, and scheduling systems
  • Train other office staff
  • Log surgical procedures and reschedule or cancel procedures as needed
  • Collate and submit information and communicate repair orders
  • Schedule procedures to support physician productivity
  • Follow fire safety and emergency procedures
  • Perform other duties as required

Requirements

What you’ll need
  • High school graduate or GED required
  • Associate Degree preferred
  • Heartsaver certification within 30 days of hire
  • Previous PSR experience preferred
  • Previous office experience preferred
  • Ability to communicate in English orally and in writing
  • Excellent interpersonal and customer service skills
  • Accurate computer data entry skills
  • Ability to organize and perform multiple tasks in a timely manner
  • Knowledge of medical office and terminology preferred
  • Basic proficiency in computer use required
  • Previous experience with standard office technology in a Windows-based environment preferred
  • Experience with EHR, Practice Management System, and Departmental/Ancillary Systems preferred
  • Working knowledge of booking and scheduling inpatient, outpatient, and special procedures
  • Knowledge of insurance and pre-certification requirements
  • Understanding of hospital document submission and pre-admission testing procedures
  • Must complete Heartsaver certification within 30 days of hire
