About the role
- Support C-level and senior hiring across portfolio companies, managing interview scheduling, logistics, and confidentiality
- Serve as key point of contact for executive search partners, internal hiring leads, and candidates
- Maintain structured documentation, process flows, templates, and consistent candidate communication and feedback protocols
- Collaborate with headhunting partners to track pipeline progress and data accuracy and help build scalable talent pools
- Leverage Ashby and generative AI tools to streamline coordination, communication, and recruiting efficiency
- Work closely with People & Organization (P&O) and cross-functional teams to enable successful hires across the ecosystem
Requirements
- Minimum 5+ years of experience in recruiting coordination, HR operations, or executive support
- Experience in matrixed or multi-entity environments (e.g., private equity, professional services, scale-ups)
- Demonstrated ability to coordinate high-caliber recruiting processes with executive stakeholders
- Strong command of calendar management, interview logistics, and documentation
- Proficiency with AI tools and ATS systems (preferably Ashby)
- Professional fluency in German and English
