About the role
- Provide high-level administrative and operational support in a one-on-one working relationship with the Creative Arts Pastor
- Serve as a central liaison for the Creative Arts Department—working closely with Worship, Production, Communications, and campus teams
- Coordinate projects, communication flow, and logistical needs across all areas of Creative Arts
- Manage the day-to-day administrative operations of the Creative Arts Department, ensuring tasks and communications are handled efficiently and proactively
- Organize, maintain , and improve file systems, digital assets, shared drives, and departmental documentation to ensure consistent organization and accessibility for the creative team and volunteers
- Prepare and edit correspondence, reports, presentations, and project documents on behalf of the Creative Arts Pastor/Director and team
- Assist with scheduling, task tracking, follow-ups, and the ongoing coordination of creative projects across several locations
- Attend Creative Arts team meetings, record notes and action items, and ensure follow-through on assignments and deadlines
- Support planning and implementation of department projects—including weekend services, sermon series assets, seasonal experiences, and special events by managing logistics , timelines, and communication with relevant teams
- Monitor the status of ongoing design, video, and communications projects, ensuring details are captured, deadlines are met, and the Creative Arts Pastor stays informed at a high level
- Provide hands-on logistical support for weekend services and events, including procurement, print pickups, volunteer coordination, and project-related errands as assigned
- Help recruit, onboard, and schedule Creative Arts Serve Team members (including photography, video, graphics-support, production, and/or worship arts roles as needed)
- Maintain ongoing communication, care, and support for Creative Arts volunteers, ensuring they feel valued, equipped, and connected
- Serve as the first point of contact for general Creative Arts inquiries via email and phone
- Facilitate clear and timely communication between the Creative Arts Department and internal ministry partners, especially in collaboration with the Communications Director
- Possess working knowledge (or willingness to learn) of graphic design, videography, photography, and/or social media workflows to better support team processes and communication
- Provide basic creative assistance when needed—such as preparing files, gathering assets, coordinating shoots, or supporting social media initiatives—without serving as a primary creative lead.
Requirements
- Minimum of one year in an administrative, project coordination, or support role (church or creative department experience preferred but not required )
- Excellent verbal and written communication skills
- Strong interpersonal and relational skills; able to work well with staff, volunteers, and ministry partners
- Proficiency in Microsoft Office applications
- Ability to quickly learn and utilize ministry platforms such as Planning Center Online (PCO), Asana, and other creative workflow tools
- Basic familiarity with creative environments (graphics, video, photography, or social media) is encouraged but not required
- Strong organizational and time-management skills with a proven ability to meet deadlines and follow through
- Demonstrated problem-solving skills and the ability to anticipate needs before they arise.
