About the role

Key responsibilities & impact
  • Ensure all case milestones are executed timely, maintaining high quality service across all tasks and client interactions
  • Provides administrative support to assigned panelists, ensuring efficient case handling and timely follow-up
  • Provide professional, courteous, and timely communication with clients as well as internal teams ensuring all inquiries, special requests, updates, and issues are addressed with accuracy, empathy, and efficiency
  • Establish and manage cases ensuring accurate documentation, timely updates to case files, and seamless tracking throughout the case lifecycle
  • Coordinates the preparation and distribution of panelist lists in response to arbitration filings or client requests
  • Develop and maintain proficiency in case management software
  • Manages the scheduling and coordination of hearings, conference calls, and other case-related activities, ensuring alignment with client and panelist availability
  • Identify and recommend improvements in processes and procedures to enhance efficiency, client satisfaction, and overall service delivery

Requirements

What you’ll need
  • Bachelor's Degree in Legal, Business or related field
  • Minimum 4 years relevant experience in customer service, preferably with a prior knowledge of or experience working in the legal industry
  • Strong verbal and written communication skills with the ability to convey complex information to clients and internal teams in a clear, concise and professional manner
  • Skilled at managing multiple tasks and prioritizing independently
  • Strong organizational skills including the ability to track deadlines, maintain organized documentation and coordinate schedules effectively
  • Proficiency in ADR process and procedure, including mediation, arbitration and court reference matters
  • Proven ability to collaborate with diverse stakeholders, manage conflict and maintain productive communication
  • Proficiency in MS Office required
  • Customer service oriented with strong interpersonal skills and the ability to communicate and interact effectively
  • Dedicated professional with the ability to respond to requests promptly and accurately
  • Must be detail oriented, organized, be able to multi-task and work under pressure to meet or exceed deadlines
  • Proactive and motivated with strong problem solving and follow up skills.
