About the role

  • Oversee daily print and mail operations, which include, but are not limited to, print production management, mail management, shipping, receiving, document storage, and general office management.
  • Oversee and manage key vendor relationships for print production.
  • Implementing and monitoring processes for all functional areas.
  • Providing metrics and data for the team’s performance on a monthly basis.
  • Service is the point of quality control for print production and mail operations.
  • Validate and process invoices.
  • Actively supports and embraces our core values
  • Responsible for reporting risks that are identified to the appropriate team and/or management.
  • Additionally, responsible for managing, monitoring, and reporting risks within the scope of your work area, including, but not limited to, Information Security risks.
  • Establishes and monitors goals for the department and team members in collaboration with the tasks that they support.
  • Creates meaningful and timely reporting tools to monitor satisfaction and service levels.
  • Manages day-to-day operations, including driving metrics of the team, executing monthly evaluations, and coaching team members.
  • Develops and maintains department standard operating procedures.
  • Identifies business risks, implements effective controls, and evaluates the success.
  • Demonstrates strong leadership ability to guide or direct others through actions and influence while making good business decisions.
  • Builds and maintains working relationships with Executive and Senior leaders, team members, vendors, and other department stakeholders.
  • Identifies and manages mitigation of roadblocks for the department and individual team members.
  • Assess the financial needs of the department, assist with the annual budget, monitor expenditures, and be accountable for maintaining expenses within the allocated budget.
  • Responsible for balancing team members’ workload to optimize the effectiveness of the department.
  • Ensures procedures are documented so department staff are able to comply with policies and processes.

Requirements

  • High School Diploma or General Education Degree (GED)
  • AA degree desired
  • Three (3) years of management experience required.
  • Five (5) years of print production or bulk mail (USPS) experience required.
  • Vendor oversight experience.

  • Excellent organizational skills and ability to identify and implement process changes.
  • Ability to maintain confidentiality of materials handled.
  • Excellent verbal and written communication skills, with an ability to express and document complex ideas with technical staff, non-technical staff, and end-users.
  • Ability to utilize data and metrics to inform day-to-day operations and strategic decisions
  • Ability to work in a fast-paced environment and proactively manage deadlines throughout the course of the year.
  • Strong ability to build and maintain partner relationships and the ability to collaborate at all levels within Velera.
  • PC knowledge and proficient in the use of Microsoft Word, Excel, Visio, and PowerPoint
  • Effective interpersonal skills and the ability to convey complex information in a way that others can readily follow.
  • Excellent planning and organizational skills, as well as the ability to prioritize workload using good judgment, while balancing the need for an immediate response with accuracy and completeness of information.
  • Detail-oriented with strong problem-solving skills and the ability to identify, analyze, and resolve problems, driving solutions to completion.
  • Ability to work under minimal supervision.
  • Ability to negotiate effectively with vendors.
  • Ability to lead cross-departmental project teams and develop a talented and highly motivated team.
