About the role

  • Review and categorise incoming legal mail promptly and accurately, ensuring handling aligns with company guidelines and legal requirements
  • Route correspondence to appropriate teams or individuals based on established workflows
  • Maintain precise records of all mail processing activities, using document management systems and workflow tools
  • Work closely with Legal Mail Project Managers and stakeholders to ensure seamless operations and communication
  • Escalate anomalies, issues, or complex cases for timely resolution
  • Support colleagues and contribute to shared team goals
  • Suggest improvements to enhance efficiency, accuracy, and compliance in mail handling processes
  • Safeguard confidentiality and integrity of all legal correspondence

Requirements

  • Legal degree or equivalent qualification strongly preferred
  • 2–4 years of relevant work experience in legal operations, compliance, or administrative roles
  • Familiarity with document management systems and workflow tools (e.g., Salesforce)
  • Strong attention to detail and ability to process high volumes accurately
  • Data entry and record-keeping skills with a commitment to secure and accurate records
  • Basic understanding of legal terminology and concepts
  • Organisational and time management skills with the ability to meet deadlines
  • IT literacy, including proficiency with Google Workspace and willingness to learn new systems quickly
  • Effective communication skills and a proactive approach to problem-solving
  • Adaptability and ability to work in a dynamic environment with changing priorities
  • Strong teamwork and collaboration skills
  • Ability to safeguard confidentiality and integrity of legal correspondence
  • Ability to work hybrid in Belfast or London (up to 3 days in-office per week)
  • Available to start September/October 2025
