About the role
Key responsibilities & impact- Provide specialized, high-touch administrative and operational support for the talent acquisition process for executive and business critical roles
- Manage complex interview scheduling across multiple time zones
- Coordinate logistics for in-person and virtual recruiting activities
- Maintain accurate candidate data within the Applicant Tracking System (ATS)
- Ensure timely communication among recruiters, hiring leaders, and candidates
- Orchestrate intricate coordination of complex interview schedules
- Provide concierge-style support to executive and highly specialized candidates
- Safeguard sensitive candidate information
- Initiate and manage comprehensive pre-employment background checks, drug screenings, and onboarding activities
- Provide direct administrative support to recruiters
- Monitor I-9 completion status
- Manage escalation or suspension processes for new hires
- Assist with preparation and maintenance of operational reports and recruitment/onboarding metrics
- Participate in process efficiency improvement initiatives
- Proactively identify and resolve potential scheduling conflicts
- Leverage technology and innovative solutions to optimize scheduling efficiency
- Provide training, coaching, and feedback to junior Recruiting Coordinators
- Ensure risks associated with business activities are effectively identified, measured, monitored, and controlled
Requirements
What you’ll need- High School Diploma or General Equivalency Diploma
- 4 years of progressive work experience in staffing, general human resources, and/or account relationship management
- Demonstrated experience with calendar management and/or prioritizing tasks, manage multiple calendars, and meet deadlines in a fast-paced environment
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and experience working with Outlook or other calendaring software
- Strong attention to detail and accuracy
- High End Retail Customer Facing Experience
- Exceptional Organizational and Calendar Management Skills
- White-Glove Candidate and Hiring Leader Experience
- Proficiency in ATS and HR Systems
- Experience with Pre-Employment and Onboarding Processes
- Proactive Problem-Solving and Process Improvement
- Discretion and Confidentiality
- Mentorship and Training Ability
- Experience with High-Volume Coordination (Even for Senior Roles)
- Understanding of Employment Law Basics
