About the role

Key responsibilities & impact
  • Create and maintain schedules for multiple hospital locations 45 days before the start of each month
  • Use Shift Admin scheduling software to auto-generate schedules based on customizations, rules, and weightings
  • Establish relationships with providers to learn scheduling preferences and hard stops
  • Analyze requests, identify conflicts, determine solutions, and escalate unresolved issues
  • Compile historical-data reports to determine future staffing needs
  • Collaborate with credentialing, RDO, Directors, and other teams to ensure available staffing
  • Coordinate utilization of cross-credentialed providers and days of availability with other clinician schedulers
  • Schedule traveling physicians and optimize site allocation with Scheduling Optimization
  • Ensure distributed availability provides complete staffing for all shifts
  • Optimize trades and shift blocking to minimize traveling physician costs
  • Ensure continuity of care, shift equity, and policy-compliant distribution
  • Schedule providers according to budgeting tiers and clinician utilization priorities
  • Coordinate outside clinician resources through locum companies as needed
  • Modify shift maps as directed by site leadership
  • Adjust schedules with executive and site leadership under immediate deadlines
  • Work with Physician/APP leaders to finalize optimal schedules before publication
  • Fill anticipated and last-minute open shifts
  • Communicate schedule changes and secure agreement from necessary parties
  • Maintain provider satisfaction and clarify scheduling expectations
  • Investigate complaints, analyze underlying causes, and resolve issues
  • Set up Shift Admin and apply pay codes to automate payroll through Workday integration
  • Exercise judgment when deviations from policies are necessary to meet deadlines
  • Communicate terms and premium rates with providers
  • Perform on-call responsibilities when required
  • Escalate to clinician leadership when necessary
  • Ensure agreement on scheduling policies and decisions
  • Analyze metrics and reporting and communicate results

Requirements

  • Technical ability with scheduling software
  • Bachelor’s degree preferred
  • Experience creating/managing complex fluid schedules
  • Shift Admin scheduling experience preferred
  • Previous experience working with clinicians preferred
  • Ability to sit for long periods and review data on computer monitors
  • Close visual acuity required to perform the job
