About the role
Key responsibilities & impact- Support a seamless and compliant onboarding process from offer acceptance through first-day orientation.
- Manage onboarding activities and maintain HR systems.
- Track compliance requirements and coordinate closely with hiring managers, HR, and cross-functional teams.
- Uphold Upstream Rehabilitation’s mission, vision, and values while delivering a positive onboarding experience.
- Coordinate background checks to ensure completion aligns with start date requirements.
- Support I-9 and E-Verify processes, tracking completion and escalating issues to maintain compliance.
- Track onboarding progress and ensure timely completion.
- Partner with HR teams to maintain new hire information across systems.
- Prepare and maintain personnel files in accordance with documentation requirements.
- Manage onboarding communications with hiring managers and new hires.
- Create and maintain standard reports and tracking logs to support onboarding visibility.
- Support updates to onboarding materials, including the Onboarding Manual.
- Provide general administrative support to the Onboarding team.
Requirements
What you’ll need- High School Diploma or GED required.
- 2+ years of experience in Human Resources or a related field.
- Working knowledge of employment practices and compliance requirements.
- Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
- Highly organized, with the ability to track and coordinate multiple onboarding activities simultaneously.
- Customer-focused mindset with a responsive, service-oriented approach.
- Clear and professional written and verbal communication skills.
- Ability to follow established processes and escalate issues appropriately.
- Proven ability to handle sensitive information with discretion and confidentiality.
- Proficiency in Microsoft Office and web-based HR systems.
- Ability to work independently while also collaborating effectively within a team.
