About the role

Key responsibilities & impact
  • Support a seamless and compliant onboarding process from offer acceptance through first-day orientation.
  • Manage onboarding activities and maintain HR systems.
  • Track compliance requirements and coordinate closely with hiring managers, HR, and cross-functional teams.
  • Uphold Upstream Rehabilitation’s mission, vision, and values while delivering a positive onboarding experience.
  • Coordinate background checks to ensure completion aligns with start date requirements.
  • Support I-9 and E-Verify processes, tracking completion and escalating issues to maintain compliance.
  • Track onboarding progress and ensure timely completion.
  • Partner with HR teams to maintain new hire information across systems.
  • Prepare and maintain personnel files in accordance with documentation requirements.
  • Manage onboarding communications with hiring managers and new hires.
  • Create and maintain standard reports and tracking logs to support onboarding visibility.
  • Support updates to onboarding materials, including the Onboarding Manual.
  • Provide general administrative support to the Onboarding team.

Requirements

What you’ll need
  • High School Diploma or GED required.
  • 2+ years of experience in Human Resources or a related field.
  • Working knowledge of employment practices and compliance requirements.
  • Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
  • Highly organized, with the ability to track and coordinate multiple onboarding activities simultaneously.
  • Customer-focused mindset with a responsive, service-oriented approach.
  • Clear and professional written and verbal communication skills.
  • Ability to follow established processes and escalate issues appropriately.
  • Proven ability to handle sensitive information with discretion and confidentiality.
  • Proficiency in Microsoft Office and web-based HR systems.
  • Ability to work independently while also collaborating effectively within a team.
