About the role
Key responsibilities & impact- Support the administrative implementation of K-12, university, and adult learning programs at the Chazen Museum of Art
- Serve as a point of contact for schools and outside groups
- Schedule tours and class visits
- Organize materials for the Chazen’s Museum Guides
- Greet groups at the museum
- Maintain reporting data across teaching and learning initiatives
- Support evaluation and analysis
- Lead or co-lead group visits through exhibitions and collection galleries
- Support select public programs
- Schedule logistics and secure resources for meetings, conferences, travel, and work unit operations
- Send, receive, copy, and distribute communications
- Track, stock, order, and inventory office supplies
- Serve as the first point of contact for individuals and groups and route complex inquiries
Requirements
What you’ll need- 2+ years of experience in administrative work, such as scheduling, data management, or logistics coordination
- 1+ year of experience leading group activities in an arts or educational setting
- Experience evaluating, reviewing, or tracking workplace activities
- Well-developed interpersonal, communication, and hospitality skills
- Ability to collaborate with varying groups and individuals with different needs
- Excellent organizational and time management skills
- Experience coordinating multiple projects simultaneously with attention to detail
- Ability to adapt, experiment, and solve problems flexibly and creatively
- Ability to receive and implement input and feedback appropriately
- Ability to work independently and in a team, exercise judgment, establish priorities, and manage projects
- Ability to adjust as new projects are assigned
- Proficient knowledge of Microsoft Outlook and Office Suite
- Ability to learn new systems
- Bachelor’s Degree in arts, education, humanities, or a related field is preferred
- Occasional nights and weekends required
