About the role

Key responsibilities & impact
  • The Administrative Assistant provides high-touch support to the campus’s administrators including the Campus President (CP), Dean of Nursing (DON), and the Dean of General Education (DOGE).
  • Facilitates planning for new student orientation, graduation, advancement ceremony and other events.
  • Arranges for services (i.e. catering, photography) including coordinating contracts and payments.
  • Coordinates day-of details with the venue, oversees the program, and supports day of preparation and rehearsals.
  • Creates student orientation packets.
  • Manages and maintains administrators’ schedules; coordinates appointments, meetings, sends out meeting notices, and maintains the campus calendar and testing calendar.
  • Creates and edits expense reports, various student letters, and financial reports as needed.
  • Proofreads documents, analyzes data, and prepares correspondence.
  • Provides high-level administrative support by conducting research, handling information requests, and preparing statistical reports, expense reports, purchase orders, memos, letters, and other documents using Word, spreadsheet, database, or presentation software.
  • Completes weekly data entry and compilation of report for student clinical hours.
  • Attends curriculum, faculty, and other meetings as requested and takes meeting minutes.
  • Performs general clerical duties such as organizing, filing, shredding, and photocopying documents; maintains office files, student files, and other appropriate records; orders office and medical supplies, and faculty desk copies.
  • Maintain confidential files and processes related documents, including payroll records; assists in faculty certification procedures.
  • Prepares and processes Education Affiliation Agreements, documentation for clinical facility sites and monitors their currency.
  • Schedules/proctors exams as required.
  • Assists in the dissemination of schedules for all student cohorts for each new session and semester.
  • Ensures timely fulfillment and distribution of textbooks and student supplies for all courses.
  • Records details related to Last Date of Attendance (LDA) and Health and Safety Orientation (HSO) completion in the student’s information systems.
  • Enters student data into systems and ensures data accuracy and completeness.
  • Maintains accurate and complete student files; resolves missing documents, professionally and efficiently, working directly with students.
  • Assists current and prospective students with changes in status, troubleshoot issues and concerns, assist students with accurate completion of required documentation, and refer complex cases to the appropriate dean.
  • Responds to student, colleague, and/or community inquiries, within scope and refer inquiries appropriately.
  • Participates in campus events and assists with the organization and execution of events as needed.

Requirements

What you’ll need
  • Degree preferred.
  • A minimum of two (2) years’ administrative level support experience, preferably in higher education.
  • Strong organizational, writing, and interpersonal skills.
  • Attention to detail.
  • Exceptional degree of professionalism and discretion in handling confidential information and highly sensitive matters.
  • Exceptional ability to organize, prioritize, and multi-task in an extremely dynamic environment.
  • Effective problem-solving skills and strong desire to help those who have questions and problems.
