About the role

  • Reporting to the Director, Community & International Education, the Program Administrator provides comprehensive administrative support to the Faculty’s operations related to the Alberta International School (AIS) of Recreation, Sport, and Tourism at Beijing Sport University, as well as the Community and International Education Office.
  • This role supports a wide range of administrative processes, including HR, IT, finance, facilities, and other operational functions connected to AIS.
  • The administrator assists faculty and staff in navigating Central Service Hubs and liaising with the AIS Campus Bureau, providing guidance on accessing institutional services and ensuring processes move forward efficiently.
  • The Program Administrator coordinates and supports all AIS meetings, including scheduling, agenda preparation, tracking action items, monitoring task accountability, and ensuring deadlines and timelines are met.
  • This includes organizing and documenting regular AIS Zoom meetings with instructors and staff located in Hainan.
  • In addition, the position provides administrative support to the Community and International Education Office, including coordination of the International Summer School Program, support for international partnership initiatives, and support for Graduate Certificate programs.
  • The role also includes maintaining and updating website content, reviewing project progress and supporting micro-credential initiatives, and performing other related duties as assigned.

Requirements

  • Post-secondary degree is required, preferably in Kinesiology, Business, or other related degree areas.
  • Minimum of 3-5 years of administrative experience preferably in a post-secondary environment.
  • Ability to work independently while functioning in a larger team setting, working collaboratively with staff and faculty members. In addition, must possess the ability to shift priorities and work under the direction of multiple areas/leads.
  • Exceptional Customer Service skills and a strong commitment to professionalism are required.
  • Demonstrated ability to maintain confidentiality when working with highly sensitive information.
  • Exceptional interpersonal, communication (oral and written), and problem-solving skills required.
  • Must be well organized and a proactive self-starter. Proven ability to demonstrate exceptional attention to detail.
  • Must be willing to work outside standard hours to accommodate the time difference between Edmonton and Hainan as well as other international and after-hours events.
  • Must possess a valid Alberta Class 5 (non-GDL) driver’s license.
  • Must be able to provide a recent copy of a three-year driver’s abstract with no more than six (6) demerits and/or two (2) moving violations within the last two years.
  • Ability to lift 30lbs repetitively.
  • Preferred Qualifications:
  • Knowledge of the academic policies and procedures of both the Faculty and the University of Alberta is an asset.
  • Proficiency in the use of Excel, Word, and Google Suite, familiarity with database management is an asset
