About the role
- Organization and execution of continuing education and event management
- Administrative support for courses, workshops and conferences (virtual and in-person)
- Scheduling and room management
- Coordination and support of speakers and lecturers
- Preparation and distribution of seminar and event materials
- Participant and event management
- Organization of registration processes and participant administration
- Service-oriented support for prospective attendees and participants
- Maintenance of event information in internal systems
- Support for quality assurance of organizational processes
- Alumni and network management
- Support in maintaining and further developing the alumni network
- Participation in alumni and networking events
- Maintenance and management of contact data
- Administration, budgeting and systems
- Invoice management and preparatory accounting tasks
- Support for budget planning and control
- Maintenance and management of customer and event data in the CRM system
- Coordination of external and internal service providers and cooperation partners
- Support with administrative and organizational tasks in day-to-day operations
Requirements
- Successfully completed vocational training in administration, a commercial field, or a comparable qualification, or equivalent qualification
- At least two years of professional experience, ideally in events, continuing education, or the education sector
- Experience in a university context or a research-related organization is desirable
- Structured, independent, and reliable working style
- Strong organizational skills and very good time management
- Ability to coordinate multiple tasks and processes in parallel
- Confident use of common MS Office applications (Outlook, Excel, Word)
- Ideally experience with CRM or campus management systems
- Strong service orientation and communication skills
- Enjoyment of teamwork
