Corporate Guest Experience Coordinator
UkioCorporate Guest Experience Coordinator responsible for guest onboarding and case management at growing startup Ukio. Collaborating across teams to improve guest experience processes and resolutions.
About the role
Key responsibilities & impact- Manage the pre-arrival journey to ensure a seamless guest onboarding experience.
- Collect, review, and validate guest documentation in accordance with company requirements.
- Conduct and communicate pre-arrival checks to guests.
- Coordinate check-in logistics and ensure readiness for arrival.
- Monitor and follow up on outstanding guest requirements and apartment-related issues prior to move-in.
- Track and monitor security deposits, ensuring accurate records and follow-up.
- Oversee amenity basket inventory and budget allocation.
- Support invoice coordination and payment follow-ups when required.
- Maintain accurate account documentation and administrative records.
- Act as a point of coordination for key guest accounts, ensuring timely resolution of issues.
- Follow up on outstanding maintenance or operational matters that may impact the guest experience.
- Proactively identify and escalate risks affecting guest satisfaction.
- Collaborate closely with Operations, Maintenance, Housekeeping, and Sales teams to deliver a high-quality guest experience.
- Monitor and follow up on work orders and service requests affecting key accounts.
- Facilitate communication across departments to ensure efficient issue resolution.
- Maintain accurate reporting, account records, and operational documentation.
- Identify opportunities to improve workflows, guest experience processes, and internal coordination.
- Support the implementation of process improvements and best practices.
- Assist in the triage of guest and internal support requests that require human intervention.
- Assess incoming tickets to determine ownership, reason for contact, urgency, and priority.
- Route requests to the appropriate teams and ensure timely follow-up.
Requirements
What you’ll need- Able to do a temporary contract (6 months)
- C1 English and Spanish level
- Strong customer service and communication skills.
- Highly organized with excellent attention to detail.
- Proactive problem-solver with a guest-focused mindset.
- Able to manage multiple tasks in fast-paced environments.
- Team player who collaborates effectively across departments.
- Adaptable, quick learner, and eager to take on new challenges.
