Proposal and Marketing Specialist

About the role
Key responsibilities & impact- Coordinate the preparation and submission of high-quality proposals, tenders, and expression of interest documents
- Support internal proposal team communications (schedule/attend meetings, record action items, track milestones)
- Support the maintenance of client and opportunity details in CRM systems, ensuring accuracy and accountability
- Assist in tracking and supporting business development initiatives
- Conduct scans of specified websites to identify new business opportunities
- Support conference and event coordination, including logistics, materials, and on-site needs
- Support the development of engaging content for proposals, presentations, social media, marketing materials, and internal/external communications
- Collaborate with technical and project teams to translate complex ideas into compelling graphics, presentations, and messaging
- Provide administrative and coordination support across departmental functions
- Assist with tracking, reporting, and maintaining documentation for both business development and marketing initiatives
Requirements
What you’ll need- Minimum Bachelor’s degree in Business Administration, Marketing, Communications, or a related field
- Direct experience supporting business development (proposals, tenders, CRM management)
- Experience in marketing coordination and content development
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Professional
- Working knowledge of Adobe Creative Suite an asset
- Excellent written and verbal communication skills
- Strong organizational skills with a keen eye for detail and the ability to manage multiple priorities
- Self-motivated, creative, and collaborative team player who thrives in a fast-paced environment
- A background in biology, chemistry, or environmental science would be considered an asset.
