About the role
Key responsibilities & impact- Schedule and assign approved source inspectors based on customer requirements, skillsets, certifications, and geographical considerations
- Coordinate inspection dates, times, work scope, and access requirements with customers and suppliers
- Monitor inspector availability and resolve scheduling conflicts or last-minute changes
- Maintain accurate calendars, internal systems, and job logs
- Provide backup support to other contracts when continuity support is needed
- Serve as the primary customer point of contact for inspection scheduling, updates, and general inquiries
- Build and maintain relationships with aerospace OEMs, suppliers, and quality teams
- Collect and communicate customer-required documentation and inspection instructions
- Perform data entry for job details, inspector assignments, and customer information
- Maintain customer and internal documentation, including quality records, SOW details, and inspection checklists
- Support inspector onboarding and qualification record management
- Track and reconcile inspector hours, travel time, and expenses
- Verify timesheets and resolve discrepancies before submitting them to accounting
- Assist with invoice preparation and customer billing support
- Collaborate with operations, quality managers, and field inspectors to ensure seamless job execution
- Identify opportunities to improve scheduling efficiency, customer satisfaction, and internal processes
- Support special projects and surge workloads during peak aerospace production cycles
Requirements
What you’ll need- Excellent communication skills and professional customer and field-personnel interaction
- High attention to detail and accuracy in data entry and documentation
- Strong organizational skills and ability to prioritize multiple tasks
- Proficiency in Microsoft Office Suite and/or scheduling systems
- Minimum 3 years of experience in scheduling, dispatch, customer service, aerospace operations, or related administrative coordination
- Any combination of education and experience may be considered
- Preferred experience in aerospace, defense, quality assurance, or inspection services
- Familiarity with aerospace standards, including AS9100, source inspection procedures, and supplier quality processes
- Experience with time-tracking, billing, or operations management systems
- Knowledge of inspection, manufacturing, or supply chain workflows
- Effective and appropriate communication
- Ability to work collaboratively in a cross-functional team environment
- Ability to establish and maintain effective working relationships
- Pass pre-hire background check including DMV
- Pass pre-hire drug screening
- U.S. citizenship required
- Valid driver's license and auto insurance in the state of residence requested in the application
- Typical hours Monday–Friday, 8:00 a.m.–5:00 p.m.; occasional extended hours and weekend overtime may be required
- Ability to participate in assigned physical activities, including light lifting and prolonged sitting
- Vision sufficient to read printed documents, computer screens, and observe behavior
- Compliance with company policy regarding visible tattoos and significant body modifications for customer-facing employees
