About the role
- EA to Founders and support for the GTM team
- Extensive diary management, prioritising, scheduling, and coordinating meetings across multiple time zones, often adapting plans at short notice
- Organising travel itineraries, accommodation, and logistics for business trips
- Preparing meeting agendas, briefing notes, and presentations as required
- Acting as a key liaison between the executives and internal/external stakeholders
- Supporting with investor, board, and high-priority client communications when needed
- Managing expenses, reimbursements, and other administrative tasks efficiently
- Plan and coordinate team events, workshops, and meetings to foster team collaboration and morale
- Support onboarding of new employees, including equipment provision, account setups and toolkits for a seamless start
- Manage and organise office operations and procedures, ensuring a tidy, safe and efficient workspace for employees and visitors
- Oversee and liaise with vendors for merch, office supplies and equipment as needed
- Handle mail, deliveries, and distribution of documents as required
- Coordinate office moves and reconfigurations as required
Requirements
- 3+ years’ experience as a high-performing PA or Team Assistant, with proven ability to take on Office Management responsibilities in a fast-paced, high-growth environment
- Proficiency in extensive diary management for key personnel
- Outstanding organisational and time management skills
- Ability to anticipate needs and think several steps ahead
- Excellent communication skills (both written and verbal) and strong attention to detail
- Discretion, confidentiality, and emotional intelligence
- Ability to juggle multiple priorities and adapt quickly to changing needs
- Comfortable working independently and taking ownership in a fast-paced environment
- Proficiency in Google Workspace, Slack, and other productivity tools
- Team player – willingness to “muck in” and help colleagues
- Brings fresh, creative ideas to team-building and morale-boosting initiatives including monthly team socials
- Bring energy and create a welcoming attitude to the role by making the office a place where people enjoy coming to work
- Desirable: Experience managing more than one executive
