About the role
- Handles strategic meeting calendar ensuring timing and logistical details are in place to maximize the Executive Leadership team efforts while acting as a liaison on behalf of them. Ensure the Executive Leadership team is prepared for Board Meetings, Executive Offsites, All-Hands Meetings and Keynotes
- Create agendas for meetings, join meetings with CEO and direct reports where appropriate, taking notes and drafting meeting recaps including decisions, action items and due dates
- Manage multiple projects simultaneously, capturing all items in Excel and/or similar productivity tools, updating Executive Leadership team on progress regularly and proactively.
- Organize and prioritize critical issues and required information for the Executive Leadership team where appropriate to facilitate efficient decision making and implementation.
- Prepares travel agendas including expense reports and timely and efficiently.
- Prepare PPT’s and talking points for external meetings and presentations with Marketing oversight where required.
- Research, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Leadership team, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Takes notes at each senior leadership meetings and provides recap of decisions and action items.
- Availability to complete all the above both in and outside of normal business hours, as it functions with Executive Leadership team
Requirements
- Bachelor’s degree or equivalent work experience
- 3-5 years’ experience supporting of senior level team members
- Expert level written and verbal communication including writing, editing, spelling/grammar, messaging skills
- Proven ability to work with a great deal of discretion, protecting sensitive personal and company information
- Highly proficient in Excel, Microsoft Word and PowerPoint
- Knowledge of SharePoint or other intranet tools a plus
- Extremely detail-oriented, organized and able to thrive in a fast-paced, deadline-driven environment - you must love creating order out of chaos
- Flexible in terms of responsibilities and responsiveness with a positive can-do spirit
- Natural ability to multitask and prioritize time-sensitive assignments in a dynamic environment
- Quick learner - have a knack to figure out new systems and adapt on the go
- Independent - the ability to work under little direction and exercise sound judgment when making time-sensitive decisions
- Problem solver - you will be able to actively find a creative solution efficiently and proactively
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Composed professional - people love working with you because you are compassionate and stay cool under pressure matched with your drive to get stuff done.
- Education industry experience a plus but not required.
