About the role

  • Prepare draft pleadings, court documents, briefs and routine correspondence
  • Review standard and complex legal documents and correspondence according to provided instructions
  • Process converted or corrupted documents and resolve related issues
  • Prepare transcriptions of statements and written or recorded materials
  • Compile various documents, including motion records, affidavits of documents, briefs and appeal records
  • Arrange service and filing of documents with the courts
  • Record time entries by file number; prepare monthly statements and fee accounts for review and approval
  • Organize and maintain client filing systems (paper and electronic); ensure files are kept current in the firm’s document management system
  • Maintain and update calendars and contact records (contact lists)
  • Manage flight and travel itinerary requests as needed
  • Perform other administrative tasks as required, including greeting clients, handling incoming calls, photocopying, scanning, collecting and sorting mail, binding documents, preparing cheque requests and setting up meeting rooms

Requirements

  • Diploma or certificate as a legal secretary/legal assistant or legal technician
  • Minimum of five years’ experience as a litigation legal assistant
  • Experience with class actions and civil litigation matters
  • Strong knowledge of the Rules of Civil Procedure and the procedures of various courts
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint and Word); knowledge of Summation is an asset
  • Experience working with a document management system
