About the role
- Support the planning and execution of a mix of internal and external events, including (but not limited to) team trainings, company-wide programs, tradeshows, and customer-facing experiences.
- Manage event logistics such as venue and vendor coordination, travel arrangements, shipping, materials preparation, and onsite attendee experience.
- Partner cross-functionally with teams across Toast (Marketing, Sales, People, Communications, Product, Customer Success, and more) to ensure events align with business priorities and goals.
- Help ensure consistency and quality across all events, supporting in-person, virtual, and hybrid experiences.
- Maintain event timelines, calendars, and detailed checklists to keep programs on track and well-executed.
- Assist with budget tracking, forecasting, vendor invoicing, and basic ROI or performance reporting for assigned events.
- Support staffing coordination, schedules, and onsite expectations for internal teams participating in events.
- Partner closely with Marketing Operations (MOPs) to support event setup, tracking, and reporting, including registration data, lead uploads, campaign attribution, and performance dashboards.
- Support post-event follow-up including surveys, reporting, documentation of learnings, and recommendations for improvement.
- Serve as a key point of contact for vendors, venues, agencies, and third-party partners as needed.
- Contribute to the development of repeatable processes, templates, and playbooks for both internal and external programs.
Requirements
- 1-3 years of event planning or coordination experience across internal events, external events, or both.
- Proven ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment.
- Highly organized, detail-oriented, and resourceful with strong project management skills.
- Strong communicator with the ability to collaborate effectively across cross-functional stakeholders.
- Comfortable working with vendors, venues, agencies, and external partners.
- Experience supporting budgets and tracking expenses for events or programs.
- Familiarity with registration platforms (Cvent, Bizzabo) and CRM or project management tools preferred.
- Strong written communication skills, including experience supporting event emails, landing pages, or internal communications.
- Ability to thrive in ambiguity and adapt quickly as priorities evolve.
- Positive, solutions-oriented mindset and strong team player.
- Self-motivated and eager to continuously improve event quality, efficiency, and impact.
- Willingness to travel approximately 10-15%, including some weekends.
