About the role

  • Provide office and reception support and a professional "first impression" greeting clients and visitors
  • Support both Overland Park, KS and St. Louis, MO offices at least 3 days a week, approximately 24 hours weekly
  • Coordinate staff events (lunches, brownbag seminars, after hour social events, etc.) and employee functions
  • Process incoming/outgoing mail and manage office correspondence
  • Make travel arrangements and act as liaison with travel and car rental agencies
  • Inventory and order office and field supplies; maintain office supply, furniture and equipment inventory and maintenance
  • Schedule appointments, coordinate logistics for management and client events, conferences, and webinars
  • Interact with property management for office/building needs and act as liaison between office personnel and property management firm
  • Type, proofread, and assemble correspondence, reports, proposals, memos, charts, and documents
  • Organize and prioritize information and calls; create logs and databases
  • Assist in processing timesheets and expense reports as needed
  • Coordinate logistics for conferences including procuring and setting up marketing booth; manage off-site storage and copier repair services
  • Serve as point of contact for IT for new employee computers/phones and reporting technology issues; assist with workstation setup
  • Serve as point of contact for vendors and retain copies of agreements
  • Assist managers with onboarding and training of new staff; perform receptionist duties and local business errands
  • Drive for local business errands to company project or office sites as needed

Requirements

  • High School diploma or GED and at least 2 years of administrative/office experience; or equivalent combination of education, experience and training
  • Effective working knowledge and skills with office procedures, terminology, and office equipment and computers in a Windows environment
  • Accurate typing skills of a minimum of 40 to 50 wpm
  • Must be organized and able to multi-task
  • Excellent verbal and written communication skills
  • Availability to work additional hours on short notice as required by project demands
  • Valid U.S. driver’s license and a satisfactory driving record for business travel
