About the role
Key responsibilities & impact- Provide high-level, proactive operational support for the Vice President of Philanthropic Partnerships & Influence
- Facilitate relationship management and communications with external and internal stakeholders
- Manage the VP’s calendar, scheduling requests, reminders, inbox triage, correspondence, and follow-up
- Maintain Salesforce records across the VP’s portfolio
- Prepare briefing documents and manage meeting logistics, decisions, and next steps
- Support regular communications from the VP to the PPI team and full staff
- Manage VP project engagement, tasks, timelines, coordination sessions, and weekly updates
- Maintain document management systems and databases according to data retention conventions
- Develop and manage contracts and payments for VP-managed consultants
- Manage renewals of organizational memberships, publications, networks, and registrations
- Manage sensitive matters with confidentiality and discretion
- Identify opportunities to streamline workflows, administrative processes, and project management
- Build conference and meeting calendars aligned with their purpose
- Prepare conference and meeting intelligence packages with contact backgrounds, talking points, and context
- Manage conference and travel logistics, including registration, accommodation, transport, and visa support
- Submit and manage credit card expense reports and reimbursement requests
- Track post-conference and meeting follow-through
- Contribute to organizational collaboration, staff meetings, retreats, training, and organization-wide activities
- Manage personal administration including receipts, reimbursements, scheduling, travel planning, filing HR paperwork, and related tasks
- Model Thousand Currents’ values and contribute to a positive organizational culture
Requirements
What you’ll need- Deep alignment with Thousand Currents’ values and mission, including commitment to social and/or environmental justice and equity
- Extensive experience in an executive support role, preferably supporting an executive with fundraising responsibilities
- Ability to take initiative in a fast-paced environment and adapt to changing priorities
- Ability to manage up and align priorities and expectations
- Excellent organizational and time management skills; ability to meet deadlines
- Occasional flexibility to respond to time-sensitive needs outside standard business hours
- Strong communication and interpersonal skills with staff at all levels
- Attention to detail and diligent follow-through on communication and action steps
- Proficiency in Google Suite, Asana, and Slack
- Salesforce proficiency is an asset
- Residence timezone must allow at least 5 hours per day of overlap with GMT-5
- High learning orientation, sound judgment, attention to detail, and openness to feedback
- Ability to thrive in a fast-paced, dynamic, remote, geographically dispersed work environment
- Excellent internal communication and cross-team collaboration skills across time zones
- Ability to travel domestically and internationally as needed
- Valid passport and availability to travel by car and plane to national and international meetings
