About the role
Key responsibilities & impact- Serve as a trusted partner to the Co-Founder leading democracy programs, aligning priorities, meetings, and projects with broader goals
- Own and optimize a highly dynamic calendar and proactively manage competing demands
- Prepare agendas, briefing materials, and decision-making context
- Attend select meetings, capture decisions, track action items, and drive follow-through
- Track key initiatives, deliverables, workflows, deadlines, and communication flows
- Coordinate internal and external stakeholders and connect day-to-day tasks to broader priorities
- Draft communications, presentations, and other materials
- Liaise with internal and external partners while handling sensitive matters with discretion and confidentiality
- Support Forecast and SharePoint, organize files and documents, and serve as a first point of contact for technology issues
- Identify and implement improvements to systems, workflows, and efficiency
- Support special projects, events, and cross-functional initiatives
Requirements
What you’ll need- 7–9 years of total experience, including at least 3 years supporting senior executives, founders, or business leaders
- Must reside in the East Bay within approximately a 30-minute commute of Berkeley, CA
- Expertise in advanced calendar management and prioritization
- Strong project coordination and operations support experience
- Comfort managing technology tools and troubleshooting basic issues, including Forecast, SharePoint, and file/device organization
- Ability to partner with IT as needed
- Excellent communication and stakeholder management skills
- Proven ability to track and drive follow-through across multiple priorities
- Ability to synthesize meeting information and multiple sources into clear next steps and follow-up communications
- High level of discretion, judgment, and professionalism, including in an office setting
- Ability to thrive in ambiguity, adapt quickly to shifting priorities and schedules, and take initiative with minimal day-to-day direction
