• Customer Engagement and Retention: Promote customer engagement by actively listening to their needs and providing personalized solutions. Identify opportunities to upsell and cross-sell products and services, while ensuring a positive customer experience. Proactively engage with customers to gather feedback and identify areas for improvement.
• Production Support: Produce, Manage, and maintain estimates and orders that are currently in production. Process orders, estimates, and invoices according to company policies and procedures. Collaborate with the sales and marketing teams to support their customer’s needs and ensure a seamless customer experience. Maintain communication for the successful completion of orders from start to finish Assist with the development and implementation of customer service strategies and initiatives.

Accounts Payable

• Compile and maintain accounts payable records.
• Assists with preparation of accounts payable checks; prints accounts payable reports.
• Review checks and vouchers to verify proper payments before payments before payments are mailed out to vendors.
• Prepare general ledger entries as required.
• Perform AP data entry including daily proofing, matching documentation (invoice, PO, and Receipts), reconciliations, approvals and AP aging management.
• Always comply with the company’s regulatory guidelines and corporate policies.
• Maintain confidentiality regarding the company, products and employee information.
• Verification of freight invoices and ensures proper allocation and supports are provided prior to input.
• Strong relationship building skills enable interdepartmental coordination on AP related matters while maintaining outstanding vendor relationships.

Seasonal Accounts Payable Clerk

Analyst

• Serve as Subject Matter expert in all things related to system data regarding job costs, core gross margins.
• Provide operational procedures guidance to ensure all job cost activities are measured consistently and cutoffs during month end are accurate.
• Guide and counsel to locations where deviations in standard practices are identified.
• Assist locations in month close process, ensuring deadlines are met and all key transactions are posted.
• Provide ad-hoc analysis of job cost and margin data where needed to support management requests.
• Leadership in company efforts in calculating and managing recovery cost rates for each of the covered locations.
• Assist with any needs for company audits across locations of coverage
• System integrations – Serve as key lead for any new accounting based systems; Participation as subject matter expert.
• Mentor key individuals in specific areas of coverage across all covered locations
• Drive continuous improvement in financial systems and reporting tools (e.g., MIS, ERP)
• Provide executive leadership with actionable insights on profitability, risk, and growth opportunities

• Maintains and audits employee records in the HRIS database and paper files.
• Processes HR and Payroll changes within the HRIS.
• Processes the full onboarding and offboarding cycle at all work locations.
• Provides administrative support such as scheduling drug tests, posting jobs via the ATS, and creating offer letters.
• Owns the anniversary/company party planning.
• Processes unemployment claims.
• Assists with the recruitment and interview process.
• Assists the HR team with implementing and coordinating performance management.
• Works with multiple departments but mostly HR.

Human Resources Generalist

Customer Support

• CSR’s interact regularly with customers, Sales Representatives, Estimating, Production, Prepress, Purchasing and Delivery departments as well as with other CSR’s and outside vendors
• Responsible for daily workflow: reviews daily job report each morning to ensure all jobs are on schedule; reviews daily delivery reports and discusses any delivery concerns with the appropriate supervisors; reviews and write-up proofs to go out to clients throughout the day; turns in proofs to production when they return from customers; fills out the proper forms necessary to account for changes and additional charges; ensures jobs match the quotes before turning them into production; has jobs re-quoted if needed and informs customers of price changes in writing; enters jobs into the system; writes job number and date on all supplied materials; ensures lasers are provided to production on ALL jobs; provides folding dummies on book work; prints out Sales Call Log (“ARMS”) and discusses with Sales Representative who is to contact which accounts and when
• Resolve customer questions and problems as they arise
• Analyzes increases or decreases of business within an account and identifies reasons per quarter in combination with sales
