About the role
Key responsibilities & impact- Support projects and contracts and coordinate cross-functional operational activities, including operations support, procurement, finance, and meeting support.
- Advance Chesapeake Bay agriculture strategy projects, including projects funded by large Federal grants.
- Coordinate with internal TNC teams, including Grants and Legal.
- Coordinate project team meetings and follow-up activities.
- Update and maintain intranet sites and internal databases.
- Coordinate administrative and programmatic functions.
- Process and manage contracts and procurement activities.
- Manage invoices, prepare reports and forecasts, track budgets, and contribute to budget forecasts.
- Execute Information Systems, Data Security, and Finance tasks in accordance with team systems and resources.
- Provide guidance on TNC policies, procedures, financial standards, and legal requirements.
- Implement processes and practices to improve effectiveness.
- Communicate with staff, vendors, and business partners to support decisions, problem-solving, and workflow improvement.
- Ensure compliance with Conservancy policies, external donor/legal/IRS requirements, and private and public grant terms.
- Coordinate projects within defined timelines and budgets.
- Conduct analysis, research, and follow-through.
- Handle confidential information sensitively.
- Process purchasing and invoices, contract with vendors, and assist with budget preparation.
- Provide input for improving existing programs and occasionally act as a resource or supervisor’s substitute when instructed.
- Travel occasionally for multi-day retreats in the mid-Atlantic region and work flexible hours as needed for Eastern Time Zone coordination.
Requirements
What you’ll need- Bachelor’s degree and 2 years related experience or equivalent combination.
- Experience coordinating administrative processes.
- Experience generating reports and interpreting data.
- Experience in business writing, editing, and proofreading.
- Experience organizing time and managing diverse activities to meet deadlines.
- Experience working across teams and communicating with a wide range of people.
- Ability to analyze information for coordinating and planning activities and solving problems.
- Ability to use existing technology to achieve desired results.
- Excellent customer service skills and focus.
- Experience interpreting guidelines to achieve desired results.
- Strong organization skills, accuracy, and attention to detail.
- Experience managing components of large Federal grants.
- Experience managing contracts, including drafting and completing due diligence.
- Experience with financial systems, including invoice and budget management.
- Must meet The Nature Conservancy's background screening requirements.
- Occasional domestic travel may be required.
- Ability to work Eastern Standard Time hours.
