About the role

Key responsibilities & impact
  • Administer medical, dental, vision, life, disability, FSA/HSA, voluntary, and COBRA benefits
  • Manage enrollments, qualifying life event changes, terminations, eligibility tracking, new-hire education, offboarding, and open enrollment
  • Audit enrollment and eligibility data and resolve discrepancies with vendors, carriers, and internal stakeholders
  • Manage the benefits inbox and serve as an escalated contact for complex inquiries
  • Own carrier billing, reconcile adjustments and eligibility mismatches, process invoices and payments, and maintain audit documentation
  • Partner with HR systems and Finance on billing and reconciliation automation
  • Serve as the primary vendor and carrier liaison and support renewals, service reviews, implementations, and migrations
  • Oversee leave of absence, Paid Family Leave, and workers’ compensation processes
  • Maintain OSHA logs, compliance, required postings, and benefits/payroll alignment
  • Administer 403(b) and 457 plans, including enrollments, contributions, loans, withdrawals, distributions, and rollovers
  • Reconcile retirement contributions and coordinate Form 5500, nondiscrimination testing, RMDs, plan audits, and participant notices
  • Ensure compliance with ACA, ERISA, HIPAA, COBRA, FMLA, ADA, and state PFL laws
  • Prepare biweekly benefits reports and maintain ADP/SharePoint records for audits and regulatory reviews
  • Operate autonomously on vendor relationships, billing reconciliation, and compliance execution while escalating strategy and budget decisions to the Total Rewards Director

Requirements

What you’ll need
  • Expert knowledge of ACA, ERISA, HIPAA, COBRA, FMLA, ADA, and state PFL regulations
  • Working knowledge of 403(b) and 457 plan administration, IRS/DOL compliance, and record-keeper operations
  • Financial acumen in billing reconciliation, invoice processing, and cross-departmental coordination
  • Advanced ADP Workforce Now proficiency, including benefits module and reporting
  • Advanced Excel skills, including complex formulas, pivot tables, VLOOKUPs, and ad hoc reporting
  • Experience overseeing workers’ compensation and leave of absence processes, including vendor liaison work
  • Strong vendor management skills
  • 5–7 years of progressive benefits/HR administration experience
  • 403(b) and/or 457 retirement plan administration required
  • Workers’ compensation and leave of absence oversight required
  • Bachelor’s degree in HR, Business, or a related field; equivalent experience accepted
  • 3+ years of ADP Workforce Now experience strongly preferred
  • Nonprofit or multi-state organization background strongly preferred
  • CEBS, CBP, PHR, or SPHR certification a plus
  • NAPA or ASPPA retirement credential a plus
  • Payroll/accounting familiarity a plus
  • Ability to work in the United States and be legally authorized to do so
