💰 $82,500 - $95,700 per year
About the role
- Provide sophisticated calendar management, ensuring key deadlines and action items are flagged and met
- Make judgments and recommendations to ensure smooth day-to-day engagement
- Act as liaison between staff, external stakeholders, and executive leaders to relay important information and escalate issues
- Draft communications on behalf of executives (memos, emails, meeting agendas)
- Take meeting notes as requested
- Manage all travel logistics for executives
- Process vendor invoices for payment and coordinate expense reports and reconciliation
- Provide backstop support to other Executive Assistants
- Provide project management support and proactive materials management (PPT, memos, etc.)
- Support executives and senior executive assistant with board materials preparation
- Act as thought partner on special projects when required
- Plan and execute event and retreat agendas and manage event logistics (conference rooms, catering, A/V, IT support)
- Support senior executive assistant with board meeting planning and execution
- Coordinate with Tides Facilities team to maintain tenant scheduling and space utilization calendars
- Provide troubleshooting support for tenants, including office tours and training
- Process Tides and tenant mail and maintain communal kitchen tidiness
Requirements
- Strong alignment with Tides’ Vision, Mission and Approach and organizational values (respect, equity, empowerment, accountability, creativity)
- 5 - 7 years of senior-level administrative experience (minimum 5 years)
- At least 1-2 years of experience supporting multiple executives
- Experience supporting multiple executives (preferred)
- Professional competency with Microsoft Suite
- Familiarity with SharePoint and Salesforce is a plus
- Excellent interpersonal and relationship management skills
- Highly resourceful team-player approach and ability to work independently
- Excellent communication skills with internal and external staff, clients, Board, and stakeholders
- Attention to detail and dedication to accuracy and timeliness
- Ability to handle confidential matters with diplomacy
- Adaptability to different working styles and approaches
- Sense of humor
- Enthusiasm for organizational and operational excellence in accelerating social change
- Must be within commuting distance of Tides' office in lower Manhattan (NYC)
