Property Management & Administrative Assistant

About the role
Key responsibilities & impact- Handle incoming and outgoing calls, emails, and general correspondence related to property management
- Coordinate and schedule property viewings for rental units
- Prepare and send viewing lists and appointment confirmations
- Communicate with tenants, prospective tenants, and local authorities/councils regarding property matters in the United Kingdom
- Follow up with prospects and stakeholders to ensure timely responses and progress on rental inquiries
- Verify tenant eligibility for council programs or incentives when applicable
- Maintain accurate records of viewings, tenant communications, and property updates
- Assist with scheduling, reminders, and general coordination tasks as a virtual/personal assistant
- Support day-to-day administrative and secretarial tasks for the office
- Perform other tasks related to the position
Requirements
What you’ll need- Proficient level of English (written and spoken)
- Strong interpersonal and phone communication skills
- Ability to multitask and manage follow-ups efficiently
- Highly adaptable and organized with strong attention to detail
- Previous administrative or customer service experience is a plus but not required
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet
- Ability to work in alignment with U.S. Eastern Time (New York time) business hours - 8:00 AM to 4:00 PM
