Optimize the administrative functions of the Chief Administrative Office (CAO) unit
Provide support to the CAO and other departments within the unit
Focus on improving organizational efficiency, developing policies and procedures, and ensuring smooth daily operations
Manage complex schedules for the CAO
Arrange detailed domestic and international travel itineraries
Coordinate meetings, including preparing agendas, taking minutes, arranging logistics, tracking action items, and follow up on commitments
Manage high volume sensitive and confidential correspondence
Conduct research, prepare reports, and manage documents
Serve as the primary point of contact for the CAO, screening calls and visitors
Assist with project management tasks and ensure deadlines are met
Create PowerPoint Presentations
Direct and coordinate daily office operations
Develop, implement, and review administrative systems, policies, and procedures to enhance operational efficiency
Oversee facility management, including managing equipment, supplies, and office space
Collaborate with internal stakeholders to ensure workplace environments support productivity and employee well-being
Manage and monitor the administrative department's budget providing monthly reports
Collaborate with the CAO to develop and implement strategic priorities and initiatives
Requirements
Bachelor’s degree in a relevant field such as business administration; master’s degree preferred
Minimum of five – seven+ years of experience in operations management, executive-level administration; supervisory experience a plus
Demonstrated ability to manage complex schedules, coordinate meetings, and streamline daily operations with precision
Exceptional leadership and organizational abilities
Demonstrated experience providing executive support and adept at managing multiple competing priorities, multi-tasking, and consistently meeting deadlines
Strong problem-solving and adaptability skills
Strong analytical, communication, and interpersonal skills
High level of discretion and professionalism
Proficiency with Microsoft Office Suite, including calendaring and meeting tools such as Microsoft Office Outlook, Word, Excel, PowerPoint, and Microsoft Teams
Familiarity with project management and collaborative tools
Experience with financial or ERP systems
