Training Specialist II

About the role
Key responsibilities & impact- Supports the design, delivery, coordination, and administration of employee development and engagement initiatives within University Housing and Dining (UHD)
- Working closely with the Senior Training Coordinator and Senior Training Specialist
- Helps ensure employees have access to clear, effective, and well-organized learning experiences that support onboarding, skill development, and workplace expectations
- Plays a key operational role within the Employee Development and Engagement (EDE) team
- Provides hands-on support for training facilitation, logistics, and learning management system administration
- Creates, updates, and manages training events, sessions, and curricula in UTLearn (Cornerstone)
- Maintains accurate training rosters by enrolling participants, uploading attendance records, and updating completion status
- Updates employee training transcripts and supports manager requests for transcript and completion information
- Monitors training completion using UTLearn and the internal compliance dashboard to support department-wide training compliance
- Assists with tracking required training and identifying follow-up needs related to incomplete or overdue training
- Supports supervisors and departments with questions related to training assignments, completion status, and records
- Collaborates with the Senior Training Specialist and Senior Training Coordinator to ensure training data is accurate, timely, and aligned with established compliance and reporting processes
- Supports the design, development, creation, and facilitation of training content and learning experiences, in collaboration with Senior Training Specialists and subject matter experts
- Develops training materials and resources (e.g., slide decks, activities, job aids) based on established learning objectives and guidance from senior staff
- Co-facilitates portions of New Employee Orientation (NEO), Supervisor Orientation, and other EDE training programs
- Assists with maintaining, updating, and organizing training materials, presentations, toolkits, and participant resources
- Supports bilingual training environments, including assisting with Spanish-language facilitation or translation as skills allow
- Coordinates logistics for training sessions and events, including scheduling, room reservations, materials, setup and breakdown, catering, and A/V needs
- Prepares and organizes training supplies and materials; assists with loading and unloading materials for events
- Tracks attendance and assists with post-session follow-up and documentation
- Coordinates training logistics and communications, including scheduling, participant communications, and ongoing updates to training calendars and resources
- Supports Employee Development and Engagement initiatives that strengthen employee connection, communication, and recognition
- Serves as an active member of the UHD CARE Committee and assists with planning and executing employee engagement and appreciation events
- Supports wellness, adult education, and other department-wide programming as needed
- Assists with the creation and distribution of EDE communications such as training calendars, flyers, and internal resources
- Supports the development and maintenance of training documentation, workbooks, and basic procedural materials
- Assists with Spanish translation of training materials when possible and coordinates with external translation services as needed
- Provides customer service to employees and visitors
- Supports the HR team during peak periods as a backup
- Performs other related duties as assigned
Requirements
What you’ll need- Bachelor’s degree in education, organizational development, human resources, communications, or a related field
- At least two (2) years of experience supporting, delivering, and/or coordinating training, learning, and/or professional development initiatives
- Familiarity with learning management systems (LMS) or other training platforms
- Experience facilitating or supporting in‑person training
- Ability to communicate effectively in both English and Spanish, particularly in training or employee-facing settings
- Experience collaborating with subject matter experts (SMEs) to translate content into effective learning materials
- Familiarity with adult learning principles
- Experience working in higher education or a large organization
- Ability to manage multiple tasks and priorities while meeting deadlines in a collaborative team environment
