About the role
- Provide seamless, proactive support to the Chief Impact Officer, acting as the right hand to the CIO and supporting other Directors in the department.
- Inbox management and correspondence: sorting incoming emails by filing, prioritizing, and responding where appropriate whilst ensuring strict confidentiality.
- Schedule management: prioritizing and rescheduling as necessary and communicating with internal and external stakeholders to manage, prioritize, and follow through on requests and inquiries.
- Management of all travel arrangements: including transport, accommodation, itineraries, and visas when required.
- Expense management: reconcile monthly corporate card charges and reimbursements as required.
- Proactively ensure adequate meeting preparation, including relevant documents and briefings; record and disseminate notes and follow-up actions when required.
- Utilize internal systems (Salesforce, ClickUp, etc.) and ensure they are being updated accordingly on behalf of the CIO and their department.
- Maintain a working knowledge of priorities and follow up on key deadlines, deliverables, and action items until completed.
- Support with presentation creation, formatting, proofreading, help with building reports and information in a digestible and presentable format.
- Draft communications on behalf of the CIO for both internal and external use.
- Build strong working relationships across all levels of the organization and with external stakeholders; collaborate with other Assistants and the Chief of Staff to coordinate meetings and events.
- Partner with Communications and Events teams on media requests, conference planning, and industry engagements.
- Provide reminders of upcoming activities and ensure leaders are fully prepared; contribute to special projects and research as needed.
- Work autonomously in a complex, global organizational environment and perform other duties as assigned by the Chief Impact Officer.
- Secondary: Provide administrative support to other Directors in the division as appropriate.
Requirements
- 5+ years of experience as an Assistant, ideally supporting C-Suite or senior executives.
- Experience working in a remote, global organization with scheduling across multiple time zones.
- Background in the fashion or textile industry is preferred.
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Teams) and ability to learn new tools quickly.
- Proven ability to handle sensitive information with discretion and confidentiality.
- Highly proactive, motivated, independent, and capable of managing competing priorities.
- Calm under pressure, with strong organizational and problem-solving skills.
- Proven ability to quickly orient to a landscape of internal and external stakeholder networks and projects.
- Excellent written and verbal communication skills in English, with meticulous attention to detail.
- Strong interpersonal skills and ability to build rapport at all levels.
- Willingness to travel domestically and internationally as required.
- Flexibility to work across time zones when necessary (without extended or excessive hours).
- Preferred: Experience with Salesforce, or similar systems is preferred.
