About the role

  • Support the Team Manager in overseeing the day-to-day operations of the clinic
  • Optimize workflow, coordinating patient care, and ensuring a high level of client service through collaboration with clinicians and administrative staff
  • Provide direction to clinical staff regarding daily patient workflow to ensure all duties are outlined, assigned, and managed
  • Organize and coordinate the daily operations of the patient flow, reception activities including billing and break coverage
  • Communicate with executives about the day's activities, oversee patient flow to ensure timely care
  • Assist practitioners by providing necessary information, requisitions, and documents as required
  • Identify and document process shortfalls and communicate these issues to management
  • Recommend possible solutions to minimize barriers to administrative workflow and high-touch client service
  • In collaboration with management, set and implement standards, policies, and processes designed to maintain a consistent presence
  • Handle requests from executives via phone and email
  • Inform about additional services such as Genetics, Fitness packages, Wellbeing, Diet packages
  • Respond to questions and concerns by clients, employees, and physicians
  • Liaise with physicians and medical specialists to arrange medical appointments for patients
  • Participate in special projects and quality assurance initiatives
  • Assist with all other duties as required, including answering phones, filing, copying, etc.

Requirements

  • Minimum 2 years of relevant experience working in a fast paced medical environment
  • Demonstrated high degree of accountability, professionalism, tact and personal leadership
  • Computer proficiency and experience using MS Word, Outlook and Excel
  • Proficient in both English and French language, both verbal and written (an asset)
  • Exhibit a professional image, mature communication style and polished manner with internal and external clients
  • Ability to handle sensitive situations with tact while respecting patient confidentiality at all times
  • Self-starter who demonstrates attention to detail, a high level of accountability and sound judgement
  • Exhibit strong work ethic and takes ownership to complete a task from start to finish
  • Demonstrates flexibility, adaptability to change and ability to work effectively in a team environment with different levels of organization
  • Work well under pressure and demonstrates a sense of urgency in completing time sensitive tasks
  • Demonstrate effective organizational, multitasking and problem solving abilities
