About the role
Key responsibilities & impact- Welcome clients professionally and courteously at the reception desk
- Answer incoming internal calls
- Provide candidates with forms to complete before meeting healthcare professionals and verify completion before departure
- Work with the coordinator to ensure smooth operations and adherence to appointment schedules
- Communicate and collaborate with internal departments to optimize processes and service delivery
- Prepare patient files according to protocols and scheduled physician and nurse appointments
- Scan patient files into the Electronic Medical Record (EMR) system
- Provide clients with information about appointment status, required documents, business processes, and related matters
- Liaise with service providers to ensure medical results are received and files are finalized within deadlines
- Communicate with internal and external colleagues and physicians to complete medical files
Requirements
What you’ll need- High school diploma
- 1 to 2 years of experience in a similar position or office environment
- Bilingual proficiency in French and English, spoken and written
- Intermediate English proficiency required
- Good knowledge of Microsoft Office (Outlook, Excel, Word)
- Strong computer skills
- Detail-oriented, thorough, methodical, and attentive to detail
- Strong organizational skills and ability to work independently
- Strong commitment to excellence in customer service
- Ability to work effectively as part of a team
- Training in secretarial studies or medical administration is an asset
- Experience in a medical environment is an asset
