About the role
- Provide comprehensive administrative and HR support across the business, including managing people processes and job workflows
- Manage onboarding, staff inductions, compliance checks, and maintain training records
- Track licenses, certifications, and ongoing staff compliance requirements
- Oversee timesheet approvals, staff rosters, and prepare payroll data for processing
- Manage job bookings, allocate work to managers, monitor job progress, and close off jobs for invoicing
- Forward approved jobs to accounts and create quotes on behalf of management
- Generate operational and client reports and prepare client sign-offs
- Manage shared Outlook accounts (admin, work orders, accounts, sales) and draft/send emails on behalf of management
- Maintain SharePoint documents and files, ensuring accuracy and accessibility
- Manage the business phone line, receive calls, and delegate tasks to managers as required
Requirements
- Strong organisational and time-management skills with keen attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Proactive, solutions-focused, and reliable in supporting both staff and management
- Proficient in Outlook, Microsoft 365, job management software, and SharePoint
- Previous experience in administration or office management
- Exposure to HR, payroll preparation, or compliance administration (desirable)
- Experience in facilities management, cleaning, or service-based industries (advantageous)
