Assistant Project Manager

About the role
Key responsibilities & impact- Provide essential project coordination and administrative support that helps keep construction projects organized, compliant, and on schedule from kickoff through completion.
- Support Project Managers and Construction Managers with daily project administration.
- Assist with project setup, including project files, schedules, tracking logs, and project management systems.
- Maintain and update project information within Salesforce, Procore, and other business systems.
- Prepare, review, and distribute project documentation, including contracts, subcontracts, change orders, transmittals, correspondence, and meeting materials.
- Track project milestones, deliverables, and critical deadlines.
- Maintain accurate and organized electronic and physical project records.
- Manage document control processes, including submittals, RFIs, drawings, revisions, approvals, and project correspondence.
- Ensure project documentation is properly version controlled and distributed to the appropriate stakeholders.
- Assist with project reporting, dashboards, logs, and status updates.
- Support project cost tracking, purchase orders, sales orders, invoices, and change order documentation.
- Coordinate with accounting and project teams to ensure timely processing of invoices and payments.
- Monitor project progress and communicate regularly with project teams, customers, and sales personnel.
- Ensure project closeout documentation is completed accurately and projects are closed in a timely manner.
Requirements
What you’ll need- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 2–5 years of administrative, project coordination, construction, engineering, or related project-based experience.
- Experience supporting construction, engineering, architecture, or project management teams preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience with project management and document control systems such as Procore, Salesforce, or similar platforms preferred.
- Strong organizational, documentation, and record-management skills.
