About the role

  • Travel & Agenda Management: Comprehensive travel coordination including itinerary and agenda planning, booking flights, hotels and rental cars, arranging e‑visas and preparing travel documents.
  • Executive Support: Organization, preparation and follow‑up for meetings and congress participation (virtual and in‑person), with particular focus on participation in various Advisory Boards (Medical or Legal). Responsibilities include agenda creation, participant management, minute-taking and tracking follow‑up actions.
  • Meeting & Committee Management: Coordination of internal CMO and Legal/Compliance meetings, and external meetings with potential partners, universities, consultants, shareholders, key opinion leaders and steering committees.
  • Administrative Coordination: Managing leave requests and providing on‑site support, including cover for absences and vacations within the support team.
  • Meeting & Training Material Preparation: Creation and preparation of PowerPoint presentations for a range of internal and external purposes, including professional presentations for congresses (Medical or Legal) and internal training materials.

Requirements

  • Professional Experience: Currently enrolled student (e.g., law, public administration, business administration or similar). Initial experience as an Executive Assistant, Management Assistant or Team Assistant is desirable, ideally within an international corporate environment.
  • Organizational Skills: Strong organizational and prioritization abilities, with a high degree of structure and reliability.
  • Communication Skills: Excellent written and verbal communication skills and a confident manner when interacting with internal and external stakeholders.
  • Language Skills: Excellent written and spoken English; German and other EU languages are an advantage.
  • IT & Systems Skills: Full proficiency in MS Office, especially PowerPoint; experience with digital HR and travel tools is a plus.
  • Work Style: Structured, proactive, self‑organized and discreet, with a high degree of personal responsibility.
  • Personal Qualities: Strong service orientation, flexibility and pronounced team spirit.
  • Resilience & Composure: Professional handling of confidential information and the ability to remain composed in a dynamic environment.
