About the role
- Administer and maintain Symend’s HRIS, HiBob, ensuring accurate employee data, workflows, and reporting.
- Execute HR plan including all core People processes including onboarding, offboarding, job changes, leave administration, and employment letters.
- Act as the primary contact for employees and leaders regarding People policies, processes, and general HR inquiries.
- Provide first-line guidance to leaders on employee relations topics, including role/compensation changes, performance management, investigations, conflict resolution, coaching, leave management, etc.
- Maintain People templates and internal documentation to ensure accuracy and consistency.
- Oversee and coordinate full-cycle recruitment for all roles, including job postings, candidate screening, interview scheduling, candidate communication and the offer process.
- Administer all people programs including the annual performance review cycle, including system configuration, communications, timelines, and support for leaders.
- Support compensation and promotion processes by ensuring accurate data, documentation, and tracking.
- Launch and lead the Social Committee, coordinating events, communications, and culture initiatives.
- Administer Symend’s All Hands meetings, including agenda creation, content collection, slide support, and FAQ drafting.
- Update and distribute annual People policies, ensuring employees review and acknowledge required documentation.
- Serve as the People function point of contact during compliance and financial audits, providing requested policies, employee files, and procedural explanations.
- Maintain organized, audit-ready People documentation and ensure alignment with internal policies and employment legislation.
- Support the CFO with confidential People-related activities associated with corporate transactions or organizational changes, ensuring accurate documentation, consistency, and compliance.
- Administer intern application grants and liaise with external programs or institutions as required.
- Assist with facility and office tasks, including ordering name badges, maintaining seating plans, and coordinating general office requests.
- Manage People-related vendors such as benefits providers and background check partners.
- Perform other duties as assigned.
Requirements
- Post-secondary education in Human Resources, Business Administration, or related discipline preferred.
- CPHR designation or working toward CPHR is an asset.
- 2–4 years of experience in HR, People Operations, or a related role.
- Experience administering HiBob or similar HRIS preferred.
- Experience with JazzHR or other ATS tools is an asset.
- Experience supporting recruitment, onboarding/offboarding, policy administration, and HR documentation.
- Exposure to employee relations (e.g., supporting managers with basic performance or conduct issues) and/or compliance processes is an asset.
- Experience in fast-paced or high-growth environments preferred.
