About the role
Key responsibilities & impact- Oversee all aspects of event management for conferences, meetings, town halls, receptions, and incentive travel, including itinerary planning, show flows, rehearsals, entertainment, attendee platform management, budgets, contracts, registration, communications, translation, travel, gifting, food and beverage, staffing, safety planning, and post-event reporting.
- Lead the planning and execution of complex events, both online and onsite, directing teams and talent for seamless delivery and collaborating with the production team for show calling and floor management.
- Advise business partners on agendas to engage attendees, recommend external speakers and creative talent, and incorporate innovative audience interactions for memorable experiences.
- Manage and contract event vendors according to Sun Life guidelines, research and recommend new partners, and oversee vendor relationships.
- Administer event expenses and billing, identify cost-saving opportunities, and ensure proper processing and reporting of payments, purchase orders, and chargebacks.
Requirements
What you’ll need- 5+ years of advanced expertise in an event environment, producing exceptional and complex experiences for online and in-person corporate audiences.
- Strong passion for developing creative, engaging, and memorable experiences, with a keen awareness of the latest industry trends and techniques.
- Successfully managing teams to deliver high-quality work and fostering a motivating environment.
- Expertise in tracking expenses, managing budgets, and ensuring efficient reconciliation, consistently identifying opportunities for savings.
- Exceptional ability to build and maintain strong relationships with stakeholders, vendors, and team members, negotiating and resolving issues effectively.
- Advanced technological abilities and expertise in the MS Office Suite (Excel, Word, PowerPoint).
- Certified Meeting Professional designation is an asset.
- Knowledge of Cvent and Cvent mobile app is an asset.
- Deep knowledge of industry-related contracts and terminology (e.g. platforms, venues, speakers, vendors, etc.).
- Involvement in industry-related associations.
- Up to 20% travel may be required.
