About the role
- You will take full responsibility for preliminary accounting: collect, verify, digitize, categorize documents and hand them over cleanly to the tax firm (e.g., via DATEV).
- Act as the central interface to accounting, payroll, and social security agencies and resolve outstanding issues independently.
- Ensure that employee, vacation, and absence records are maintained accurately — both for current staff and every new hire.
- Build a tidy, digital back-office structure: cloud folders, contracts, documents, mailboxes, Excel overviews.
- Support recruiting operations: post job ads, pre-screen applications, coordinate interviews.
- Free up the management team so they can focus on growth and product.
Requirements
- 2–5 years of experience in an administrative/commercial role (e.g., Office Management, Backoffice, Team Assistant, Administrative Clerk).
- Experience with preliminary accounting; DATEV knowledge is a plus but not required.
- Strong organizational skills: structured filing, clean lists, reliable processes.
- Very careful, discreet handling of financial and personnel data.
- Willingness to learn payroll and social security topics and take on responsibility.
- Basic understanding of HR & recruiting (postings, pre-screening, coordination).
- Clear, reliable communication in German.
- Comfortable working remotely with occasional on-site days in the Monheim area.
