About the role

  • Collects all paper correspondence received on preceding business day, separating correspondence into batches based upon date, Optical Character Recognition (OCR) form family, and license type
  • Separates miscellaneous correspondence into batches of error/omission responses, disposition responses, legal responses, duplicate/revision requests, temporary G license requests, and exams
  • Places notations on documents prior to scanning such as fingerprint type, license number, and tracking number; inserts color and binary toggle pages to batches to improve scan image quality and/or to capture color images
  • Locates and modifies Imaging and Process Management (IPM) photos to include document tracking numbers
  • Operates OCR scanner/software to create batches within predetermined OCR form families
  • Performs quality assurance; designates doc sets within batches; rescans missing documents or poor quality images; creates quality control checklists for missing and illegible documents
  • Performs verification; ensures all text was correctly interpreted into OCR, making corrections as necessary
  • Finalizes OCR batches; utilizes Add Package Any and IPM Software to attach documents to license packages and route license packages as necessary; flatbeds fingerprint cards as necessary
  • Updates OCR stat sheets; files batches by date order in locked filing cabinets for a 6-month retention period; reviews daily Attachments Not Added report for scanning errors
  • Administers exceptional customer service by providing application intake for individuals and agencies licensed under Chapter 493, Florida Statutes, and for new and renewal concealed weapon license applications under section 790.06, Florida Statutes, including receiving and examining temporary class “G” firearms license applications and issuing temporary class “G” licenses
  • Issues and prints all other renewal licenses available
  • Acts in a lead worker capacity by assisting the regional office manager with scheduling, staffing, and personnel issues and working with challenging customers or taking escalated calls
  • Responds to applicant and licensee inquiries regarding statutory and procedural eligibility requirements for applications and renewals
  • Issues temporary acknowledgment card via email
  • Interprets policies, procedures, and applicable Florida Statutes
  • Reviews applications, fingerprints, and other documentation to determine the action(s) required to complete the processing of an application or renewal application
  • The incumbent must have a thorough working knowledge of a variety of integrated software packages to request and direct research necessary to resolve licensing problems
  • Arranges check deposits to a local bank if necessary
  • Applicant intake includes the following: maintaining the appointment calendar; examination and analysis of the application and supporting documentation to verify completion; electronically scanning the applicant's fingerprints; digitally photographing the applicant, and payment processing
  • Performs appropriate data entry to maintain records and statistics using a complex interactive computer database, specifically, the electronic document management system (EDMS)
  • Back up to RSII for Intake of Subpoena request from Circuit of court
  • Respond to request by calling dedicated phone number on subpoena
  • Email all incoming subpoenas to DOL Records Analyst
  • Respond to emails from Clerks office and Records Analyst
  • Review Documents before appearing in court
  • Arrange Transport to courthouse
  • Performs other related duties as required

Requirements

  • A high school diploma or its equivalent and four (4) years of professional or nonprofessional experience in administrative work, regulatory work, consumer complaint program work, interviewing, business administration, customer or public relations, or investigations can substitute on a year-for-year basis for the required college education
  • An equivalent combination of education (2 years) and experience (2 years) which equals four (4) years can substitute for the above requirements
  • A bachelor’s degree (4 years) from an accredited college or university
