About the role

  • Assist in planning, coordinating and implementing all administrative and budgetary activities involved in park operations
  • Perform assigned fiscal audits
  • Act as purchasing agent
  • Monitor and track park budget
  • Prepare budget reports
  • Process payment of utility bills and requisitions
  • Initiate purchase orders through My Florida Market Place
  • Maintain work project tracking forms and expenditures for projects
  • Act as primary liaison for the Purchasing Card Program
  • Ensure compliance with all purchasing regulations
  • Program office equipment
  • Operate personal computer, E-Mail, Internet, multi-lines phone system, two-way radio system
  • Act as liaison for assigned personnel and worker’s compensation actions
  • May assist the Park Manager by coordinating the work of toll collectors
  • Prepare special correspondence
  • Act as property custodian
  • Assist Park Manager in budget request process
  • Act as primary liaison for all Youth Camp facility bookings
  • Handle revenue collection for Youth Camp
  • Administer outsource contracts and assist with concession contracts and monthly inspections
  • Respond to oral and written complaints or complimentary letters
  • Make resolution decisions
  • Answer phones and direct calls to appropriate party or take accurate messages
  • Act as Office Manager for office operations and ensure smooth operation of office procedures
  • Maintain property and personnel files
  • Assist in assuring park compliance with current division policies, procedures and programs
  • Oversee and assist in training staff in proper administrative procedures and practices
  • Provide recommendations to park manager for processes and procedures which will promote efficiency and simplify park administrative functions
  • Attend meetings and training sessions and represent the Park Manager at meetings with division representatives, other agencies and organizations
  • Perform other related duties as required

Requirements

  • Valid driver’s license
  • Knowledge of administrative principles and practices
  • Knowledge of office procedures and practices
  • Data collection proficiency
  • Proficiency in personal computers, Windows, E-Mail, Quicken and Internet
  • Ability to collect, evaluate, analyze and organize data in office functions
  • Ability to prepare correspondence and administrative reports
  • Ability to handle multi-phone lines and two-way radio system
  • Ability to operate and maintain office equipment
  • Ability to communicate verbally and in writing
  • Ability to coordinate work assignments
  • Ability to maintain effective working relationship with others
  • Ability to follow written and verbal instructions
  • Ability to resolve customer inquiries
