About the role

  • The incumbent is responsible for a wide variety of administrative and operational support functions that include receiving and distributing incoming mail daily to applicable staff in a timely manner from when the mail is received following procedures such as opening and date-stamping all incoming mail.
  • Responsible for working with the mail room staff to ensure they are aware of delivery location and for making sure a back-up is in place if planning to be out of the office.
  • Upon delivery of any checks, assist with logging and processing as needed.
  • The incumbent will track and maintain the bureau’s Final Orders and process any pending cases in litigation following procedures.
  • The incumbent is back-up and will assist with receiving and promptly routing telephone calls to staff within the bureau, unit, or other program staff.
  • The incumbent will also monitor the bureau’s facsimile account and notify the proper staff of incoming transmissions and assist with sending out faxes as required.
  • Ensure the supply room is orderly, track and maintain supply inventory and advise the purchasing liaison of office supply shortages and needs.
  • Distribute supplies as requested by staff and assist with office set-up for on-boarding, providing necessary supplies.
  • Work with facilities for a variety of tasks such as coordinating and assisting in office moves for staff, moving furniture, and handling surplus items, by submitting requests to facilities.
  • Ensure we have duplicate office keys available for MPI office staff.
  • Assist in contacting facilities for any building issues within MPI, such as lights need to be replaced, or a ceiling leak, etc.
  • Assist with daily copier maintenance ensuring copiers are stocked with paper throughout the day and function properly.
  • Monitor paper supply and notify the purchasing liaison if more is needed.
  • Maintain the conference rooms daily, ensuring tables are set up properly for the day’s usage, and ensuring the monitors are in working order, turning them on/off daily.
  • Serves as back-up to the GOCI for a variety of functions such as Safety Coordinator for the Bureau of MPI, assisting with onboarding as needed, serves as back-up for checking in/out SunPass transponders, assisting with coordination of travel, conferences, and memberships.
  • The incumbent will be involved in activities of a broader nature within the Agency, including efforts to support the Agency's overall mission and to prevent fraud, abuse, waste, overpayments, or non-compliance in the Florida Medicaid program.
  • The incumbent will also be responsible for participating in special projects as assigned and may perform other duties as required.

Requirements

  • One year of professional work experience in a professional office setting conducting tasks such as: daily office organization, special projects, documentation tracking, meeting coordination, mail distribution.
  • One year of professional use of computer software programs such as Outlook, Word, Excel, PowerPoint, and Adobe Acrobat.
