About the role
Key responsibilities & impact- Provide dedicated project and administrative support to multiple leaders and project managers
- Enter and maintain current opportunities in Pipeline
- Track/log the status of proposals and contracts throughout the approval cycle
- Administer Prime and Subconsultant contract status from initialization to close-out
- Review proposals and contracts and gain an understanding of scope of work, schedule, fees, and limitations and conditions
- Ensure Certificates of Insurance are up to date
- Prepare contract documents/proposals
- Code invoices and verify budgets on tasks
- Assist Office leader with project management compliance
- Provide clear meeting notes to teams
- Compile and format deliverables
- Act as primary point of contact for administration activities
- Produce, analyze, and distribute ad hoc reports
- Assist Project Managers with project financial documentation
- Schedule meetings, travel, and events
Requirements
What you’ll need- Associate of Arts degree or higher in related field
- 2+ years experience in a professional office environment as an administrative professional or equivalent combination of education and experience
- Knowledge of Microsoft Word, Excel, PowerPoint, SharePoint, and Adobe Acrobat
- Ability to multi-task and prioritize in a fast-paced environment
- Ability to manage data within spreadsheets and database systems
- Strong analytical and research skills
- Strong verbal and written communication skills
- Ability to maintain a professional demeanor
- Excellent interpersonal skills
- Ability to read, interpret, and act upon the requirements outlined in agreements and contracts
