About the role

Key responsibilities & impact
  • Medical surveillance program support
  • Work with the employee and vendor to verify medical surveillance tests are booked
  • Create new testing protocols as needed
  • Verify the test(s) ordered meet legislative requirements
  • Manage medical surveillance tracking through an HSSE SharePoint
  • Follow up with employees and/or supervisors on outstanding tests, submissions or missed surveillance and invoicing
  • Communicate clearance documents to employees for their records
  • Update Stantec HSSE records
  • Respond to questions from employees and supervisors
  • Facilitate meetings with the vendor contact to discuss/resolve issues
  • Work to improve process and coordinate custom testing
  • Coordinate with the development team for any Medical Surveillance application concerns
  • Identify improvement opportunities for ergonomic program support
  • Communicate with the regional and BOU HSSE team in Canada
  • Support assessment and refinement of HSSE processes
  • Assign and track ergonomic assessments
  • Support the development of local communications and presentation content
  • Lead the maintenance of contact lists and HSSE report generation
  • Coordinate tracking of actions and training
  • General administrative support for the HSSE team

Requirements

What you’ll need
  • Well-developed communication skills, both written and verbal
  • Basic understanding of office-based ergonomics is an asset
  • Strong interpersonal skills. Capable of delivering, preparing, and presenting to groups
  • A willingness to work in a team atmosphere with a minimal amount of supervision
  • Excellent organizational skills and attention to detail
  • Demonstrated ability to handle multiple priorities and assignments
  • Understanding or willingness to learn the Canadian health, safety and environmental regulatory framework
  • Proficiency in Microsoft Office, SharePoint and Adobe Acrobat is required
  • Bilingual in English and French is required
  • Diploma/certificate or equivalent combination of education and experience related to data management/administrative support is preferred
  • Minimum five (3) years’ related experience in an administrative role
  • HSSE related education and/or experience is considered an asset
