• Provide day-to-day administrative support to the Business Support Executive.
• Maintain and update accurate sales data in the CRM system (NetSuite).
• Support the preparation of sales proposals, bid submissions, quotations, and contract documentation.
• Organise and manage the electronic filing of sales-related documents.
• Monitor and track opportunities through tendering portals, ensuring deadlines and requirements are met (including frameworks such as G-Cloud).
• Assist in the coordination and follow-up of sales activities across the business.
• Collaborate with colleagues in other departments to improve and streamline administrative processes.
• Contribute to initiatives aimed at enhancing efficiency and improving customer service standards.
• Communicate professionally with internal teams, clients, and external stakeholders.

Sales Support Coordinator

Operations

• Own resource allocation, utilisation, and forecasting across all projects.
• Plan diaries to maximise billability and meet milestones.
• Approve project and non-project non-billable time (initial ownership).
• Sign off timesheets and ensure logged time matches allocation/forecast.
• Manage calendar utilisation and billability.
• Accountable for billability metrics (rolls up to GM → Delivery Director; EBITDA → COO).
• Ensure Jira data is accurate and consistently maintained.
• Lead governance processes (KPI tracking, cadence, blocker escalation).
• Oversee delivery data hygiene via Delivery Managers.
• Support Finance Partner with variance vs. forecast reporting.
• Provide data-backed inputs for estimation (with Head of Technical Delivery).
• Lead and develop Delivery Managers to drive operational discipline.
• Maintain SOPs for Jira tagging, escalation, and reporting.
• Drive continuous improvement in tooling, reporting, and workflows.
• Reporting lines: Reports to Delivery Director; line management responsibility for Delivery Managers; accountable for Forecast Accuracy, Utilisation %, Delivery Data Integrity, Timesheet Approval & Billability Metrics.

Head of Delivery Operations

Manager

• Support operational excellence across multiple projects, ensuring project cadence, data hygiene, and accuracy of delivery information.
• Maintain consistent delivery rhythm through structured project calls and cadence tracking.
• Ensure Jira tickets are correctly tagged, updated, and closed in line with SOPs.
• Own hygiene of delivery data, ensuring accuracy and completeness across all projects.
• Monitor and support adherence to service-level agreements (SLAs) and flag risks early.
• Provide accurate data inputs for KPI dashboards and reporting to senior stakeholders.
• Support Head of Delivery Operations with forecasting insights and utilisation tracking.
• Collaborate with Finance Partner, Technical Leads, and Delivery Coordinators to align delivery and commercial data.
• Maintain documentation, SOPs, and delivery reporting standards.
• Escalate risks, blockers, or data anomalies to Head of Delivery Operations or Technical Leads.
• Reinforce operational discipline across delivery teams, ensuring consistency of reporting.
