About the role

  • Proactively manage complex calendars, schedule meetings, and coordinate across multiple time zones, utilizing tools like "meeting find time" functionalities
  • Act as a central point of contact, ensuring effective communication among team members, stakeholders, and external contacts via email, Slack, and shared calendar access
  • Leverage AI tools such as Superhuman, Fyxer, or similar AI executive assistants to efficiently draft, refine, and manage email correspondence
  • Oversee and process expense reports within our ERP, including forwarding receipts and establishing email rules to streamline the submission process
  • Expertly manage all aspects of domestic and international travel, including booking flights, accommodations, and ground transportation, with a focus on securing optimal rates
  • Prepare and edit professional communications, presentations, and other documents with a high degree of accuracy and attention to detail
  • Lead and execute special projects, such as conducting an audit of all projects on Google Cloud Platform (GCP), compiling detailed lists, and coordinating with relevant team members to gather missing information
  • Conduct light-touch research to support strategic initiatives, including exploring topics related to prompt engineering and other emerging areas
  • Monitor executive inboxes, flag urgent items, and ensure timely responses
  • Provide comprehensive administrative support as needed to ensure the smooth operation of daily activities
  • Assist with the coordination of company events, and manage related logistical support of People Operations needs

Requirements

  • Proven experience as an Executive Assistant supporting multiple executives in a fast-paced environment
  • Exceptional organizational skills with a strong ability to prioritize tasks, manage time effectively, and meet deadlines
  • Proficiency with AI-powered email and assistant tools (e.g., Superhuman, Fyxer, or similar)
  • Demonstrated expertise in calendar management and meeting scheduling across various platforms
  • Experience with expense reporting systems, preferably Maconomy
  • Advanced proficiency in Google Workspace
  • Excellent written and verbal communication skills, with a keen eye for detail
  • Proactive and resourceful problem-solver with a strong sense of ownership and accountability
  • Ability to handle confidential information with discretion and professionalism
  • Strong interpersonal skills and the ability to build rapport with diverse stakeholders
  • Experience with travel booking and itinerary management
