About the role

  • CRM Architecture & Automation Design and implement sophisticated lead scoring models for high-consideration dental services.
  • Build multi-step nurture sequences that guide patients from initial enquiry to consultation booking.
  • Create automated workflows for patient lifecycle management across multiple practice locations.
  • Develop and maintain deal pipelines that accurately reflect our consultative sales process.
  • Implement attribution modelling to track marketing ROI across channels.
  • Data & Reporting Build custom dashboards for leadership, practice managers, and patient coordinators.
  • Ensure data hygiene and implement ongoing data quality processes.
  • Create reports that connect marketing activity to patient conversions and revenue.
  • Analyze funnel performance and identify optimization opportunities.
  • Track and report on key metrics: lead velocity, conversion rates, time-to-close.
  • Integration & Systems Manage integrations between HubSpot and our practice management systems.
  • Implement and maintain third-party tool integrations (forms, scheduling, payment).
  • Build custom solutions using HubSpot Operations Hub when standard features fall short Document all systems and create SOPs for team members.
  • Team Enablement Train patient coordinators and front desk teams on HubSpot best practices.
  • Create templates and snippets that improve team efficiency.
  • Support the marketing team with email campaign execution and landing page optimization.
  • Provide ongoing support and troubleshooting for all HubSpot users.

Requirements

  • 3+ years hands-on HubSpot administration experience.
  • Current HubSpot certifications (minimum): Marketing Hub, Sales Hub, Service Hub.
  • Demonstrated experience building complex automation workflows.
  • Prior experience with multi-location or multi-brand HubSpot implementations.
  • Fluent English communication (written and verbal).
  • Available during Australian business hours (AEST overlap required).
  • Strongly Preferred HubSpot Revenue Operations certification.
  • HubSpot Data Integrations certification.
  • Experience at a Diamond or Elite HubSpot Solutions Partner agency.
  • Healthcare, dental, or high-consideration services industry experience.
  • Familiarity with EOS (Entrepreneurial Operating System).
