Site Administrative Assistant – Parts Clerk

About the role
Key responsibilities & impact- Under the direction of the Site Manager, the Site Administrator provides administrative, clerical, and safety support for onsite operations.
- This role coordinates office activities, maintains maintenance and inventory records, supports safety initiatives, and serves as a key point of contact for employees, customers, and vendors while ensuring efficient day-to-day site operations.
- Coordinate administrative activities, including scheduling meetings, preparing correspondence and reports, managing timecards, maintaining records, ordering office supplies, and supporting daily office operations.
- Support site safety programs by assisting with risk assessments, safety audits, accident reporting, emergency action plans, safety training, and compliance with company safety policies and procedures.
- Maintain maintenance documentation, including work orders, preventive maintenance records, labor tracking, invoices, equipment repair coordination, and computerized maintenance management systems (CMMS).
- Manage inventory and materials by issuing parts, tracking stock movement, maintaining inventory levels, and supporting materials management for site operations.
- Serve as a professional point of contact for employees, customers, vendors, and visitors while responding to requests, maintaining confidential information, and fostering positive working relationships.
- Prioritize multiple responsibilities with minimal supervision while supporting continuous improvement initiatives and performing additional duties as assigned.
Requirements
What you’ll need- One (1) year or more of administrative, clerical, or office support experience.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Access.
- Strong organizational, communication, and time management skills with the ability to prioritize multiple tasks independently.
- Ability to maintain confidentiality and work collaboratively with employees, customers, and vendors.
- Flexibility to work occasional early mornings, evenings, weekends, or holidays as business needs require.
